Technology for law, accounting and consulting firms

Professional services buyers are choosing a person, not a product. The site's job is to make the right prospect confident enough to book, and the wrong one confident enough to self-select out.

How this sector actually buys and operates

The economics here are unlike the trades. A single engagement can be worth tens of thousands, so the deciding factors are credibility and fit rather than speed and price. That changes what the website is for. Named professionals with real biographies, specific practice areas rather than a list of everything, and substantive writing that demonstrates judgment will beat a prettier site with generic copy every time.

Intake is the operational weak point. Conflict checks, engagement letters, retainers and document collection are handled by hand at most small firms, which means the gap between a good first conversation and actually starting work is measured in days. Every day in that gap is a chance for the prospect to reconsider or to hire the firm that sent paperwork the same afternoon.

The third factor is that the firm's time is the product. Hours spent on scheduling emails, chasing documents and assembling billing are hours not billed. Automating that administration is not a marginal efficiency; it directly changes what the firm can earn without hiring, which is why it usually pays back faster here than in any other sector we work in.

The pattern

What we see in professional services businesses

  • The site lists everything and specializes in nothing

Nine practice areas on one page reads as a firm that does whatever comes in. Buyers with a specific, expensive problem look for a specialist and keep scrolling.

  • Intake is a manual chain

Conflict check, engagement letter, retainer and document request, each handled by a person on their own timetable. The delay is invisible internally and very visible to the client.

  • Scheduling takes six emails

Finding a consultation slot by correspondence wastes professional time and adds friction exactly when the prospect is most motivated.

  • Expertise is never written down

The partners answer the same twenty questions constantly and none of the answers exist on the website, where they would work as both marketing and qualification.

Constraints

What changes the build in this sector

These are the requirements that a generic agency finds out about halfway through a project. We design around them from the first conversation.

  • Advertising rules and disclaimers

State bar advertising rules and professional body guidance govern claims, testimonials and superlatives. Copy must be reviewed against them, and required disclaimers must be present without dominating.

  • Confidentiality

Client work rarely becomes a public case study. Proof has to be built from anonymized outcomes, credentials and third-party recognition instead.

  • Conflict checks come before intake

No engagement can begin until conflicts are cleared, so automated intake has to route through that gate rather than around it.

  • Document handling must be secure

Clients send sensitive records. Email attachments are not acceptable; a secure portal with access control and retention rules is the baseline.

Systems

The tools you probably already run

We work with what you have wherever it is doing its job, and we say plainly when something should be replaced rather than integrated.

  • Clio, MyCase or PracticePanther for law firm practice management
  • Karbon, Canopy or QuickBooks Online Accountant for accounting firms
  • Calendly or a practice-integrated scheduler for consultations
  • DocuSign or Adobe Sign for engagement letters
  • A secure client portal for document exchange
  • LawPay or a compliant trust-accounting payment processor

Sequence

Where to start, in order

  1. 1. One page per practice area, written by someone who does the work

Specific, substantive pages that answer the questions a buyer in that situation actually has. These both rank and qualify.

  2. 2. Consultation booking with qualification

Direct scheduling with a short qualifying step, so the calendar fills with matters the firm wants and the rest are redirected politely.

  3. 3. Automated intake after the conflict check

Engagement letter, retainer and document request triggered as one sequence, with reminders. Days become hours.

  4. 4. Named people and real credentials

Photographs, bar admissions, certifications, speaking and publications. In this sector proof is people, and stock imagery actively undermines it.

Questions

Frequently asked

Going deeper? What to automate first

You need written answers to the questions clients ask before hiring. Whether they live in a blog or in practice-area pages matters less than that a knowledgeable person writes them. Outsourced generic content performs badly here and reads as such.
