Service
Turn new inquiries into an organized sales process.
We build CRM systems that help your team capture leads, track conversations, follow up consistently, and see what needs attention. From initial setup to migration and training, we shape the system around how you sell.
What this service is, in plain terms
Most small businesses do not have a lead problem. They have a lead custody problem. Inquiries arrive through the website, the phone, a referral, a social message, and they land in four different places owned by three different people. A week later nobody can say which ones were answered, which were quoted, and which quietly went elsewhere.
A CRM fixes custody, not demand. Every inquiry becomes a record with an owner, a stage, and a next step. Follow-up stops depending on memory because the system surfaces what is due today. And for the first time you can answer basic questions — how many inquiries came in this month, how many turned into work, where the rest stalled — without assembling a spreadsheet by hand.
The build matters more than the brand. A CRM configured around a generic template will be abandoned within a quarter, because it asks your team to work the way the software imagined rather than the way you actually sell. We start from your real sales process, configure the pipeline, forms, calendars and follow-up around it, and train the team on the system they will actually use.
The situation
What usually brings people to this page
Inquiries live in too many places
Website forms go to one inbox, calls go to a phone, referrals arrive by text. Nothing is consolidated, so the real volume of interest in your business is invisible and individual inquiries are easy to lose.
Follow-up depends on whoever remembers
A quote goes out and nothing chases it. A warm conversation cools because the next step lived in someone's head. The pipeline is only as reliable as the busiest person's memory.
Nobody can see the pipeline
Asking how many open opportunities exist means asking around. There is no shared view of what is new, what is quoted, what is waiting, and what has gone quiet.
A previous CRM was abandoned
Someone bought a subscription, imported a messy spreadsheet, and the team never adopted it because the stages and fields did not match how the business actually sells. The subscription kept billing anyway.
Scope
What you get
Everything below is included in a standard engagement. Anything outside it is quoted separately and named before work starts.
Sales pipelines and stages
Pipelines that mirror your real sales process, with stages, owners and expected time-in-stage defined from how deals actually move, not from a software default.
Contact imports and organization
Existing contacts, spreadsheets and inbox history cleaned, deduplicated and imported with tags and segments that make the database useful from day one.
Lead capture forms
Forms on your website and landing pages that create or update CRM records directly, with the source of every inquiry stored against it.
Booking calendars
Appointment scheduling connected to the pipeline, so a booked call creates a record, sends reminders, and shows up in the right stage without anyone copying details.
Approved email and SMS follow-up
Follow-up sequences for new inquiries, quotes and no-shows, written with you and sent only to people who have given the appropriate consent, within platform messaging rules.
Integrations
The CRM connected to the tools around it — your website, ad platforms, invoicing, email and calendars — so a record created once appears everywhere it is needed.
Dashboards
One screen showing inquiries in, response times, pipeline value and stalled opportunities, updated automatically rather than assembled at the end of the month.
Team training
A recorded walkthrough and written runbook for the people who will live in the system daily, plus a follow-up session after the team has used it on real work.
Preferred platform
HighLevel setup and implementation
HighLevel is our preferred option for businesses that need CRM, lead capture, booking, and follow-up in one platform. We first review your requirements, existing tools, and budget to confirm whether it fits. We can also assess an existing CRM before recommending a move.
Platform subscriptions and usage charges are separate from Columbia Tech Group implementation and management fees unless explicitly included in your proposal.

How it runs
The process, start to finish
- 01
Map your sales process
We document how an inquiry becomes a customer today — every step, owner and handoff — and agree what the pipeline stages should be before any software is touched.
Week 1 - 02
Configure and connect
We build the pipelines, forms, calendars, follow-up sequences and integrations, and import your existing contacts with their history intact where the source allows it.
Weeks 2–4 - 03
Test with sample leads
We run test inquiries through every capture point and follow-up path, and fix what the tests expose before real customers touch the system.
Week 4–5 - 04
Train your team and launch
We walk the team through their daily workflow in the new system, hand over the runbook, and stay close through the first weeks of live use.
Week 5–6
Outcomes
What changes when this is working
Every inquiry has an owner and a next step
Nothing sits unassigned. The system shows what is due today, and escalation rules surface what is going stale before it goes cold.
Follow-up happens on schedule
New inquiries, sent quotes and missed appointments each get the right nudge at the right interval, without anyone maintaining a reminder list.
You can see the whole pipeline at once
Volume, response time, conversion and stalled deals become numbers on a dashboard instead of impressions assembled from memory.
The system survives staff changes
Conversations, notes and history live in the record rather than in an individual's inbox, so a handover no longer means starting over.
Investment
How pricing works
CRM work is quoted after the process-mapping session, because the right scope depends on your sales process, your data and the platform plan you choose. Platform subscriptions and usage charges are separate from Columbia Tech Group implementation and management fees unless explicitly included in your proposal.
What moves the number
- How many pipelines, calendars and inboxes the system needs to cover.
- The state of your existing data. A clean export migrates quickly; years of scattered spreadsheets take real cleanup.
- How many integrations are required and whether those tools offer decent connection points.
- The amount of follow-up automation, and whether messaging needs platform approval before it can send.
- Team size and training needs, since adoption is where CRM projects actually succeed or fail.
Features and quantities depend on the agreed scope and the platform plan you choose. If a simpler tool you already pay for covers the need, we will say so before recommending a build.
Typical timelines
- Process mapping and platform decision
- 1–2 weeks
- Standard build and launch
- 4–6 weeks
- Build with significant data migration
- 6–10 weeks
Questions
Frequently asked
Usually, yes. Migration depends on the source system and what export access it gives you. We assess what can be exported — contacts, notes, deal history, attachments — before promising anything, and we plan the switch so nothing is lost in the gap.
You do. Account ownership and administrative access are agreed in writing before setup begins. We work inside your account with our own access, and if we part ways you keep the system, the data and the configuration.
Yes, within the rules. Messaging requires approved content, appropriate consent from the recipient, and platform approvals such as business registration for SMS. We build follow-up that stays inside those requirements rather than around them.
Ongoing management is separately scoped. Some clients take the runbook and run it themselves; others keep us on for adjustments, reporting and new automation as the process evolves. Both are normal.
HighLevel is our preferred option for businesses that need CRM, lead capture, booking and follow-up in one place, but we confirm fit against your requirements, existing tools and budget first. We can also assess an existing CRM before recommending any move.
Abandoned CRMs are usually configured around a template rather than the real sales process, so using them feels like extra work. We map your process first, build to match it, test with sample leads, and train the team on their actual daily workflow.
